Office Manager

We’re hiring an Office Manager for a European company with an office in Kyiv.

About the Role

The Office Manager will oversee daily office operations and act as the primary point of contact fore employees and visitors. Responsibilities include managing administrative tasks, coordinating schedules and travel arrangements, maintaining office supplies, handling shipments, and ensuring the office runs smoothly on a day-to-day basis.

Main Responsibilities

Office Operations:

- Open the office daily, review inventory, and manage purchases for office supplies and groceries.

- Oversee shipments and deliveries, ensuring proper filing and distribution.

Reception Duties:

- Greet and assist visitors professionally, maintaining a clean and organized reception area.

- Manage incoming calls, emails, and correspondence efficiently.

Scheduling and Coordination:

- Organize internal and external meetings, conferences, and appointments.

- Prepare meeting agendas and ensure required materials are available.

Employee Support:

- Assist employees with travel arrangements, including flights, accommodations, and

transportation.

- Coordinate office activities and events with HR, such as birthdays, team meals, and special occasions.

General Administration:

- Maintain visitor sign-in systems and manage badge distribution.

- Ensure compliance with security protocols and handle sensitive information discreetly.

- Respond promptly to inquiries from employees and visitors, providing accurate information.

Main Requirements:

• Fluent in English (Ukrainian is required; additional languages are a plus).

• Minimum 1 year of experience in an administrative or office management role.

• Strong interpersonal and communication skills with a professional demeanor.

• Excellent organizational skills, attention to detail, and multitasking abilities.

• Proficiency in Microsoft Office Suite and familiarity with office equipment.

• Ability to adapt to a fast-paced environment and handle unexpected challenges.

• Commitment to confidentiality and discretion when handling sensitive information.
