We are seeking a highly skilled Executive Assistant to a Non-Profit Director and a CEO who is passionate about making a difference in Ukraine’s future, and is ready to contribute to the growth and success of multiple ventures.
Job Summary:
The Executive Assistant will play a pivotal role in optimizing the CEO's productivity by managing schedules, coordinating events, overseeing financial tasks, and serving as a key liaison across all business activities. This position requires exceptional organizational skills, proficiency in Russian, Ukrainian and English, and the ability to handle confidential information with discretion. The ideal candidate will be proactive, adaptable, and ready to take on responsibilities that can grow into managing teams and projects.
Key Responsibilities:
Time Management:
Organize and maintain the CEO's calendar, appointments, and meetings.
Prioritize and manage multiple tasks to ensure efficient workflow.
Translation and Communication:
Serve as a translator between Ukrainian and English in meetings, documents, and communications.
Draft, proofread, and edit correspondence and presentations.
Financial Management:
Assist with budgeting, forecasting, and financial planning across all ventures.
Monitor expenses, process invoices, and manage financial records.
Prepare financial reports and summaries for the CEO's review.
Coordinate with accounting teams to ensure compliance and accuracy.
Business Support:
Assist in structuring and growing the various businesses.
Conduct research, compile data, and prepare strategic reports.
Analyze business processes and suggest improvements.
Event Coordination:
Manage social events and networking meetups, including planning, logistics, and execution.
Coordinate travel arrangements, itineraries, and accommodations for the CEO and guests.
Team Management:
Oversee part-time consultants, language teachers, and future team members.
Facilitate communication between the CEO and various stakeholders.
Assist in onboarding new team members and coordinating training sessions.
Qualifications:
A degree in Business Administration, Finance, Communications, or a related field.
Minimum of 3-5 years of experience as an Executive Assistant or in a similar role involving financial responsibilities.
Proficiency in Russian, Ukrainian and English (both written and spoken).
Strong background in financial management and reporting.
Experience in event planning and team management is a plus.
Skills and Abilities:
Exceptional organizational and time-management skills.
Strong financial acumen with attention to detail.
Proficient in Google Drive and Microsoft Office Suite, especially Excel, and financial software.
Excellent interpersonal and communication abilities.
High level of discretion and professionalism.
Ability to work independently, anticipate the CEO's needs, and take initiative.
