About the job
The ICRC Economic Security (EcoSec) Working Unit is seeking a highly capable Administrative Assistant to join our team in Dnipro. This role will mainly be responsible for providing administrative support and for EcoSec information management, either independently or under supervision. The EcoSec Administrative Assistant will act as a reference person for EcoSec data collection, analysis and reporting, written protocols, correspondence, databases, and standard tools.

Your Tasks and Responsibilities
- Support implementation of projects and programmes
- Produce statistics and update data using specialized tools
- Independently draft and finalize correspondence, internal presentations, meeting minutes and other documents; share information among users
- Update the timeline, tables and charts, schedule, and other tools and ensure invoices are followed up on
- Prepare for meetings by setting up rooms and materials, including technical set-up for conference calls, presentations and video conferences
- Independently carry out complex secretarial tasks
- Assist with organizing seminars, training sessions and workshops; liaise with internal and external contacts and service providers related to their work and follow up on expenses
- Contribute to producing tools adapted to their unit’s needs
- Apply information-management instructions and ensure compliance with procedures, including in terms of user training (practices and tools) where needed
- Keep files up-to-date and ensure that records are managed properly

About you
To be successful as Administrative Assistant in the Economic Security Work Unit, you should possess the following qualifications and experiences and have the following characteristics:
- Ukrainian citizenship or permanent residence permit in Ukraine
- High school diploma or equivalent training
- Five years of experience in a secretarial position
- Experience in an international humanitarian organization is an asset
- Professional fluency both written and spoken in English and Ukrainian; other languages is an asset
- Computer skills, including Microsoft Office suite, SharePoint, and IBM Lotus Notes
- Self-motivated with a strong commitment to teamwork and humanitarian principles
- Flexible, enthusiastic, and willing to learn
- Ability to work independently, as well as effectively under supervision
- Ability to organize and prioritize multiple tasks
- Ability to work within a diverse team and establish and maintain good working relations in a multi-ethnic, multi-cultural, and multi-disciplinary environment
