Donor Assistant
Role Purpose and Context
The Donor Assistant supports the Ministry of Economy’s Mine Action Office Team «Demine Ukraine» by providing essential administrative, organizational, and logistical assistance. This role ensures the seamless execution of donor coordination tasks, supports event organization, and aids in maintaining critical communication with stakeholders. The ideal candidate will have strong administrative skills, a detail-oriented approach, and the ability to manage multiple tasks efficiently.
Key Responsibilities
Administrative and Logistical Support:
- Maintain project management tools such as Asama, SRM systems etc
- Maintain a calendar of events and meetings, ensuring timely scheduling and coordination.
- Prepare minutes, meeting reports, and summaries of discussions.
- Draft documents, including emails, project proposals, reports, and administrative correspondence.
- Assist in planning business trips, including preparing itineraries and necessary documentation.
Event Organization:
- Support the organization of initiatives like the «Made in Ukraine» project and Sectoral Working Group meetings.
- Assist in coordinating participation in forums, exhibitions, and conferences, ensuring proper preparation of materials and logistics.
- Assist with the preparation and maintenance of dashboards to track progress and outcomes.
- Assist in prepating speaking points, presentations for relevant events.
Donor Coordination:
- Support the team in maintaining regular communication with donors and stakeholders.
- Provide assistance in the development of project propositions for donor engagement.
- Ensure alignment of donor activities with project goals through effective administrative support.
Documentation and Reporting:
- Prepare official letters, reports, and drafts of administrative documents.
- Organize and maintain records to ensure all project documentation is up-to-date and accessible.

Essential Skills:
- Strong organizational and administrative skills, with attention to detail.
- Ability to multitask and manage priorities in a dynamic environment.
- Excellent written and verbal communication skills.
Qualifications and Experience:
- Experience in administrative roles, particularly supporting events, meetings, and project coordination.
- Familiarity with drafting documents, maintaining records, and preparing reports.
- Knowledge of donor coordination processes is an advantage.
Language Requirements:
- Ukrainian — Native.
- English — Proficient (B2 or higher).
- Tools and Software:
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Familiarity with scheduling and project management tools is a plus.
