Office manager with business administration functions/management assistance

Your role:
As the Office Manager, you are the heart of our Dnipro office and work closely with our headquarters in Germany. You ensure the smooth operation of our office by taking on administrative and organizational tasks. Your responsibilities include optimising workflows, fostering team dynamics, and supporting the implementation of innovative projects. On-site, the Sales Manager and the local IT-manager are available as your contacts. We expect continuous coordination with management in Munich, Germany.

Your Responsibilities:
- Efficient office organisation and management.
- Organisation and monitoring of work processes.
- Preparation of small reports and documentation aimed at standardising processes.
- Communication with the accountant, legal advisor, and property management – as needed.
- Planning, booking, and coordinating team events such as restaurant visits, and occasional day trips, both on-site and digital.
- Supporting communication and integration of the entire international team (Germany, Portugal, United Kingdom, etc.).
- Implementation of directives from management. Management assistance.
- Promoting a pleasant working atmosphere.
- Basic bookkeeping of petty cash and online payments with a credit card (office expenses) using MS Excel.
- Assisting in personnel administration and management, as well as recruitment, e.g., posting job ads according to IT project managers' specifications or hiring external HR recruiters.
- Participating in annual employee meetings.
- Independently bringing improvement suggestions, e.g., in workflows, interior design, etc.
- Occasionally commissioning external service providers such as craftsmen, electricians for repairs, and improvements.
- Willingness to work outside regular working hours if necessary (rarely).
- Managing the key list (issuing, and returning of keys) and the inventory list (IT equipment).
What We Expect:
- At least 3 years of experience in a similar position.
- Fluent in English and Ukrainian.
- Proficient in MS Office (Word, Excel).
- Strong organisational skills and attention to detail.
- A high degree of responsibility and goal orientation.
- Friendliness, team spirit, and an optimistic and positive attitude.
Details:
- Working hours: fixed working hours, to be defined you and the company.
- 20 working hours per week (potentially expandable), between Monday to Friday, 08:00 - 19:00.
- Location: Central Dnipro
