Administrative Assistant to the Team of the Chief Administrative Officer

Join our team at LionRock LLC, a US-based company dedicated to helping people improve their lives through innovative Telehealth solutions. With a commitment to making a positive impact on mental and emotional well-being, we are looking for an Administrative Assistant to the Team of the Chief Administrative Officer to help manage daily tasks and streamline operations.

Your Role:

As an Administrative Assistant, you will provide essential support to the CEO and the Chief Administrative Officer’s team, helping with research, document management, finance tasks, administrative duties, client communication, organizational responsibilities, etc. 

Key Responsibilities:

        Conduct research to support business initiatives and strategic planning.

        Assist with Family Office tasks and other responsibilities of the Chief Administrative Officer’s team.

        Manage administrative duties, including scheduling, email management, and document preparation.

        Take detailed notes during meetings, summarize key points, and track action items and goals if needed. 

        Help organize and control daily processes to ensure operations run efficiently.

        Provide timely reminders about deadlines, pending tasks, and follow-ups.

        Communicate with clients and stakeholders as needed to maintain smooth interactions.

        Create and maintain spreadsheets, tables, and presentations for various tasks.

        Organize files, documents, and materials for projects and initiatives.

        Perform basic finance tasks, such as processing invoices, expense reports, and other simple accounting responsibilities.

        Track progress on projects and ensure deadlines are met by coordinating with team members.

What We’re Looking For:

        Strong organizational skills with the ability to handle multiple tasks and track goals effectively.

        Excellent attention to detail and problem-solving abilities.

        Good written and verbal communication skills in English.

        Familiarity with Google Workspace and Microsoft Office Suite.

        Basic technical skills, including managing subscriptions,  troubleshooting minor issues, etc.

        Experience or familiarity with Trello, Notion, Slack, and CRM systems (preferred).

        Professional communication skills for client and stakeholder interactions.

        A proactive and adaptable mindset with the ability to work independently and as part of a team.

        Creativity and the ability to think outside the box.

        Previous experience in an administrative or assistant role (a plus).
